Privacy notice
FlexInt ("we") runs FlexPad. This notice explains what personal data we hold, why, and your rights under the GDPR and the Irish Data Protection Act 2018.
Two roles
Your account: for the details of people who sign up (name, email, login history) we are the data controller.
Your business records: for the customer, job and invoice data you put into FlexPad, your business is the controller and we are your processor. We only process it to provide the service to you, under our data processing terms.
What we collect
- Account details: name, email, a securely hashed password, and records of logins and failed logins (to protect accounts).
- Business details you enter: business profile, customers, jobs, quotes, invoices, payments, expenses and receipt files.
- An activity log of important actions (who issued an invoice, when), kept for accountability.
Where it's kept
On servers in the European Union. Backups are encrypted and also kept in the EU.
The Flex assistant (AI)
If you use Flex, the text you ask about (for example job notes, or invoice details for a reminder) is sent to our AI provider, Anthropic, to produce a draft. We send only what's needed for that draft — not addresses, emails or phone numbers. We don't store the prompts or drafts. Flex never sends anything on your behalf; you decide what to use.
How long we keep it
Tax records (invoices, credit notes, payments and expenses) are kept for at least six years, as Irish tax law requires. When you close your account we delete or anonymise everything else, and delete the tax records once the retention period ends — unless you've downloaded them first, which you can do at any time.
Your rights
You can ask to see, correct, export or delete your personal data, or object to how we use it. Email us and we'll respond within one month. You can also complain to the Data Protection Commission (dataprotection.ie).
